Personal information collection statement 

Personal data collected from applicants and/or their parents/guardians will be used for the following purposes:  

a) processing applications for admission and financial aid;
  
b) evaluating an applicant's admission to CIS and the granting of financial aid;  

c) verifying the applicant's identity, academic records, school reports, examination results and financial and other information relating to the applicant and parents/guardians provided; 
 
d) administering, maintaining, managing and operating the services of CIS after admission;  

e) fundraising for the school, sponsorship and charitable activities; 

f) fundraising for third party community service organisations; 

g) sending communications to parents/guardians and students in connection with CIS activities, each student's education (only to the relevant household) and the  operations of the school, including but not limited to newsletters and information  about events and extra-curricular activities provided by CIS or third party providers (with your consent if required under applicable law);  

h) ensuring the safety of students and contacting parents/guardians/designated emergency contact person if the need arises;  

i) conducting statistical research and data analysis;  

j) offering, managing and operating alumni activities;  

k) carrying out other services in connection with the operations of CIS;  

l) making disclosures as required by any applicable law, rules, regulations, codes of  practice or guidelines or to assist in law enforcement purposes, investigations by  police or other government or regulatory authorities in Hong Kong or elsewhere; 

m) other purposes directly relating to any of the above.  

Any financial information you provide will be used solely to determine financial aid  eligibility, will be kept confidential, and will only be handled by CIS administrative staff of the Business Office.  

We may use photographs or other media that includes a student's image, name or school work and/or images of parents/guardians or other persons taking part in a school event or activity, on our website, online portals, online apps or publications. These  photographs/media are used to provide CIS families with information about their children's education and/or to provide information to other parties about CIS.  

We may also place detail personal data of students and parents/guardians in our CIS  Community Directory which is made available to CIS for the purpose of communications.  If you do not wish for such data to be included in the CIS Community Directory, please  contact Head of Primary/Head of Secondary.  

In the event an application to CIS is successful, the personal data (except for financial information) provided will form part of the applicant's school record and may be stored in CIS database systems and online portals. In the event that a student already has a sibling at CIS, the records of such sibling will be updated according to the data provided on the new student's enrolment form where relevant. If a financial aid application is successful,  CIS may retain the financial information for as long as the student is enrolled at CIS.  

Personal data will be kept confidential but may be provided to the following parties for the  purposes outlined above:  

a) any agent, service provider or contractor who provides academic, pastoral,  administrative, technology, student activity-related, catering, printing,  transportation or similar services to us;  

b) third party community service organisations;  

c) any government department, law enforcement agency or other appropriate governmental or regulatory authority in Hong Kong or elsewhere;  

d) other educational institutions for verification or reference purposes; 

e) the CIS Parents & Teachers Association ("CISPTA"); and  

f) members of the CIS community who assist the school with its activities and  operations, including students, annual fund advocates and class parent volunteers.  

We intend to use the name and contact information of parents/guardians for the  following direct marketing purposes, and your consent is required in order for us to do  so: 

a) fundraising activities for the school;  

b) fundraising activities for third party community service organisations; and  

c) extra-curricular and other activities for students provided by CIS or third party  service providers which are not an extension of curriculum.  

Data subjects (e.g. applicants/students and parents/guardians) have the right to request  access to and correction of personal data held by us, pursuant to the PDPO. You may  also request us to inform you of the type of personal data held. Requests for access and  correction should be addressed in writing to:
