Receptionist at the Business Office

Duties & Responsibilities:

  • Operate switchboard and monitor the telephone system
  • Receiving incoming calls and handling telephone enquiries
  • Handle daily business communication messages including email, incoming /outgoing mail and courier service
  • Perform general receptionist duties in a professional manner
  • Be a “friendly, helpful and informative” receptionist and greeting visitors
  • Provide support for meetings, including preparation of meeting rooms and tidy up after each meeting
  • Provide general office administrative and clerical support as needed
  • Handle ad-hoc duties as assigned

Qualifications and Experience Sought:

  • Diploma or above with minimum 3 year’ experience in office administration and reception
  • Good command in both English and Cantonese, preferably some Putonghua as well
  • Excellent telephone skills and manner
  • Good communication, coordination and interpersonal skills
  • Proficiency in MS Office and English typing
  • Self-motivated and able to work with minimal supervision
  • Pleasant, polite and cheerful personality

Administrative Assistant in University Counselling

The successful candidate for this newly created position will join a cohesive and experienced team and assist the Office Manager in maintaining the smooth and efficient administrative functioning of the office.

Duties & Responsibilities:

  • Provide administrative and clerical support
  • Assist with daily operations including data entry, managing schedules and calendars, scheduling events and venues, organising university promotional materials, helping with website maintenance, answering phones and greeting visitors when called upon
  • Carry out duties as assigned

Qualifications and Experience Sought:

  • Ability to work collaboratively as a member of a cohesive team in a collegial, supportive and friendly manner
  • Strong interpersonal/verbal and written communication skills
  • Fluency in English
  • Facility with Mandarin and Cantonese preferred
  • Well organised and responsible with the ability to take initiative, work independently and multi-task
  • Computer proficiency and comfort with programs such as MS Word, Excel, PowerPoint
  • Proficiency with Google and Microsoft platforms highly desired
  • Ability to maintain confidentiality
  • Good sense of humour
