Director of Operations
Transformative Growth under Vision ‘33
CIS is in the midst of a period of exciting and transformative growth guided by Vision ’33, the School’s ambitious road map for the coming decade in the run-up to its 50th anniversary in 2033. Further information about this strategic commitment is available here: https://www.cis.edu.hk/
As part of Vision ‘33, CIS will be expanding its campus, redeveloping an adjacent property at 9 Hau Yuen Path just awarded to the School by the Hong Kong Education Bureau. Scheduled to open in August 2028, CIS’s redevelopment of the 9 Hau Yuen Path site will house students in Years 2–6 and create a number of additional spaces for the community as a whole. It will also permit an increase in the School’s overall enrolment, opening up opportunities for more families to join CIS.
Operations at CIS
The CIS Operations team is responsible for current operational needs and future developments under the School’s phased Master Building Plan, covering both the new campus at 9 Hau Yuen Path and planned renovations for the school’s original campus buildings. Guided by a commitment to carbon neutrality and zero waste, CIS aims to exemplify operational excellence in sustainable, future-focused education.
The Role
Reporting to the Head of School, serving as a member of the School’s Leadership Team, and working closely with the Board of Governors Land and Buildings Committee, the Director of Operations plays a vital role in the life of the school, with roles and responsibilities that include the following:
- Providing strategic operational leadership for the School and serving as a key member of the senior leadership team reporting to the Head of School.
- Leading and developing the Operations team, working closely with the Deputy Director of Operations and functional leaders and contracted partners across the following teams: Health, Project Management; Technology; Administrative Support; Facilities & Security; Food Services; Maintenance; and Campus Security.
- Directing the Project Management team in planning and delivering capital projects, refurbishments, and campus improvements on time, on budget, and with minimal disruption to learning.
- Overseeing the Health Office to ensure high standards of clinical care, regulatory compliance, emergency preparedness, and effective health protocols for students and staff.
- In partnership with the Deputy Director of Operations, providing leadership for Technology operations, ensuring robust IT infrastructure, systems, data management, and technical support for teaching, learning, and administration.
- Managing Facilities & Security, including building operations, maintenance, campus security, and building management systems, to ensure a safe, compliant, and well-maintained campus.
- Overseeing day-to-day operational support functions such as administrative assistance and reception to maintain smooth, service-oriented campus operations.
- Managing relationships and performance of contracted services (e.g., Sodexo) to meet agreed service levels and support the CIS community’s needs.
- Implementing and monitoring operational policies, procedures, and standards that align with the School’s mission, risk management, and compliance requirements.

- A Bachelor’s, and ideally a Master’s degree, in Business Administration, Operations Management, Facilities Management, or a related field;
- A minimum of 10 years of professional experience, with at least 5 years in operational leadership or facilities management in a high-performance setting;
- Outstanding project management skills, with proven competencies in overseeing large-scale facility initiatives and cross-functional teams;
- A deep affinity and capacity for sustainability-based operational leadership and management;
- Excellent verbal and written communication skills, ideally in both English and Cantonese;
- Strong interpersonal skills, with the ability to build relationships across various constituencies, and in CIS’s unique context, across multiple cultures;
- A remarkable record in vendor management, contract negotiation, and budget oversight;
- Knowledge of school health and safety regulations, as well as risk management principles;
- Proficiency in office tools, including Microsoft Office Suite, Google Workspace, and other information management systems.

Executive Assistant to the Head of School

The Executive Assistant (EA) to the Head of School (HOS) plays a vital role in supporting the HOS across all facets of his position, most notably by ensuring the smooth day-to-day operation of the HOS office and by managing a variety of administrative, organisational, and strategic responsibilities advancing the HOS’s priorities on behalf of CIS. Acting as a trusted partner, the EA handles sensitive and confidential matters with impeccable professionalism, whilst serving as a key liaison among the HOS, internal stakeholders (like students, families, staff, and Board members), and external parties (such as alumni, partner organisations, and school visitors).
Key Responsibilities
Administrative Support
- Manage the HOS’s calendar, coordinate appointments, meetings, and events, ensuring optimal time management;
- Screen and prioritise incoming emails, phone calls, and correspondence;
- Proof and when needed format reports, presentations, memos, and other formal documentation;
- Handle travel arrangements, accommodations, and itineraries as required;
Meeting Coordination
- Organise all engagements for the HOS, including meetings with students, alumni, faculty, operational staff, extended Leadership team, Board Governors and other community members, as well as visits to classes, co-curriculars, and related activities whenever appropriate;
- Prepare and distribute agendas, meeting materials, and follow-up action items;
- Take accurate meeting minutes and promptly share relevant notes;
Communication and Liaison
- Act as the point of contact and manager of timetabling for the HOS, ensuring effective communication with all internal and external constituencies;
- Convey information clearly and meticulously on behalf of the HOS, always aligning with the school’s mission and vision;
- Work collaboratively with various teams, departments and divisions to facilitate seamless functioning across the school as a whole;
Project Management
- Support the HOS in the design, implementation and evaluation of strategic projects, initiatives, and goals, tracking progress, and following up on deadlines as necessary;
- Conduct background research, gather data and assist in the analysis of evidence aimed at effective decision-making;
Confidentiality and Professionalism
- Handle any sensitive and confidential information which may arise with the utmost discretion and integrity;
- Represent the HOS’s office in keeping with the highest possible level of professionalism, maintaining a courteous and approachable demeanor towards everyone who interacts with it;
Event Planning and Coordination
- Assist in planning and executing school events, ceremonies, and celebrations via seamless collaboration with relevant teams;

Office Management
- Maintain and organise the HOS’s office to ensure efficient workflows;

Qualifications
- A Bachelor’s degree or equivalent experience in administrative support or a related field;
- Proven experience as an Executive Assistant, Administrative Assistant, or similar role in a high-expectations setting, preferably educational in nature;
- Exceptional organisational and multitasking skills, with the ability to prioritise competing tasks effectively;
- Excellent verbal and written communication skills, ideally in both English and Chinese;

Senior Librarian
– Start in August 2026
The Senior Librarian’s position entails significant library management responsibility for the day-to-day tasks and liaising with the Teacher Librarian and library staff at CIS for the effective and efficient provision of services to the school community.
Responsibilities
- student supervision;
- offering user education service to students and faculty in Putonghua and English with particular focus on managing the Chinese language collection;
- management of library resources and software;
- organization and promotion of literacy events, and contribution to the school community.
Requirements
- Excellent command in spoken & written English and Chinese, fluency in Putonghua

Facilities Management Clerk
Requirements

Junior FM Officer
Job Duties
- Handle purchase requests including vetting the vendors’ service contracts and supporting documents to ensure they are in order and comply with the internal control requirements
- Administer the vendors’ service contracts to ensure sufficient timeline for vendor evaluation and making contract renewal arrangements
- Maintain and administer all relevant certificates, licenses, permits and reports. Ensure they are updated to support smooth operations for FM Department. Monitor the schedule of all licenses renewal, including the technicians’ Green Cards
- Manage the training records for all FM staff and coordinate training arrangements with other departments. Ensure FM staff and contractors attend all the mandatory training courses
- Support BMS Operator if necessary including handling job orders and access card issues, answering enquiries, etc.
- Support the FM Department in any ad-hoc tasks and projects from time to time
Requirements
- F.5 and 2 years’ relevant experience
- Excellent communication skills, including written and spoken English and Chinese. Good Putonghua is preferred
